Question 1

Will Lincoln AI disrupt our current workflow?

Accepted Answer

No. Lincoln AI is designed to integrate with existing recording and land-records systems, not replace them by default. It layers into your current environment - processing documents alongside your existing workflows without requiring a full system swap.

Question 2

What kinds of records can Lincoln AI process?

Accepted Answer

Lincoln AI processes recorded documents common in public-records environments: deeds, mortgages, liens, plats, easements, releases, assignments, and other instrument types. It handles both scanned images and digital filings.

Question 3

Can Lincoln AI read documents written in French or Spanish?

Accepted Answer

Yes. Lincoln AI can translate historical documents written in old French and Spanish - including records from the 1700s - into English on demand. Translated text is AI-generated and marked for human review before being published. This capability is particularly useful for counties with records from French or Spanish colonial periods.

Question 4

How does validation work?

Accepted Answer

Lincoln AI uses confidence scoring on every extracted field. Fields above the confidence threshold are accepted automatically. Fields below it are flagged and routed to a human review queue. Your staff reviews only the exceptions - not every document.

Question 5

How does search work after OCR processing?

Accepted Answer

Once documents are OCR-processed and indexed by party name, they're searchable by party name, document type, recording date, instrument number, legal description, book/page reference, or keyword. Results are returned from a unified repository that includes both day-forward and backfile records.

Question 6

Can Lincoln AI fit into our current system?

Accepted Answer

Yes. Lincoln AI can operate alongside your existing recording platform and exchange data with third-party vendors. Whether it supplements or replaces part of your stack depends on your environment - a tailored demo helps make that call.

Question 7

What does a Lincoln AI demo cover?

Accepted Answer

A 30-45 minute live walkthrough of Lincoln AI DMS, shaped around your office. We show ingestion, OCR/ICR, metadata search, permissions, retention, and audit trails against your document types and workflows, and leave time for questions from your team.

Question 8

What happens after the demo?

Accepted Answer

You leave with a clear picture of how Lincoln AI DMS would work for your office. If it's a fit, we scope next steps together: which workflows to start with, what integration looks like, and what the timeline involves. There's no obligation to proceed.

Question 9

How should we think about backfile vs. day-forward?

Accepted Answer

They're different workflows that use the same pipeline. Day-forward processing handles new documents as they're recorded - consistent quality, ongoing operation. Backfile conversion processes historical backlogs - variable quality, project-based scope. Lincoln AI runs both in parallel.

Question 10

What is the difference between Lincoln AI DMS and Day-Forward Indexing?

Accepted Answer

Lincoln AI DMS is a document portal - it gives your office and the public full-text search across stored documents, including historical archives. Day-Forward Indexing is a separate workflow automation product. It reads each newly recorded document, extracts index fields (grantor, grantee, instrument type, legal description), and delivers structured data to your recording system automatically - replacing manual keying. Many offices use both: DMS for searchability, Day-Forward Indexing for recording data entry automation.

Question 11

Is Lincoln AI only for county recorder offices?

Accepted Answer

No. Lincoln AI works for county recorder offices, county clerk offices, county auditor departments, and city governments. Any government office that stores, publishes, or manages documents that staff or the public need to find can use Lincoln AI. County auditor use cases include drainage records, land transfer books, and tax parcel files. City government use cases include ordinances, permits, preliminary plans, board minutes, and public transparency portals.

Question 12

How should we think about permissions and retention support?

Accepted Answer

Lincoln AI supports role-based access controls - configurable by your office so different users see and do only what's appropriate to their role. Retention-aware features help manage document lifecycles according to your policies. Lincoln AI provides the operational tooling; your office defines the rules.

Question 13

Is Lincoln AI fully autonomous?

Accepted Answer

No. Lincoln AI uses AI to extract and expand metadata, but low-confidence fields are flagged for human review. It's a human-in-the-loop system - your team validates what the AI is less certain about, rather than reviewing every document manually.

Question 14

What metadata fields does Lincoln AI extract?

Accepted Answer

Common extracted fields include party names (grantors, grantees), document types, recording dates, instrument numbers, legal descriptions, and book/page references. Extraction schemas are configurable per document type.

Question 15

Is our county's data kept separate from other counties?

Accepted Answer

Yes. Each county operates in its own isolated database environment. There is no co-mingling of records across tenants. The infrastructure runs on AWS with enterprise-grade authentication and access controls.

Question 16

How does role-based access control work?

Accepted Answer

Your office configures roles and permissions to match your existing workflow. Different staff members can be granted access to only the documents, functions, and data appropriate to their responsibilities. Lincoln AI provides the tooling; your office defines the rules.

Question 17

How are document retention policies handled?

Accepted Answer

Lincoln AI includes retention-aware features that help manage document lifecycles according to your office's policies. The system tracks retention schedules and supports workflow actions tied to those rules. Your office defines the policies; Lincoln AI provides the operational structure.

Question 18

What accessibility standards does Lincoln AI meet?

Accepted Answer

Lincoln AI is built to be fully ADA-accessible and works in any modern browser without plugins, popup windows, or compatibility settings. The interface is designed to meet the procurement and accessibility standards county offices increasingly require.

Question 19

Does Lincoln AI help with the federal ADA accessibility deadlines?

Accepted Answer

Yes. Federal guidelines require that publicly posted documents meet WCAG 2.1 accessibility standards - April 2027 for larger counties, and April 2028 for smaller counties and special districts. Lincoln AI processes documents and outputs ADA-compliant text, screen-reader metadata, and AI-generated descriptions of maps, plats, and diagram images. Documents in the Lincoln AI portal help meet the accessibility standard without manual remediation.
